Chair

The chair is appointed by the WIN members. A member of the Executive Committee. The chair acts as the WIN’s leading representative which involves the presentation of the BRG goals. The chair is to provide leadership to the board committee and take responsibility for the committee’s composition and development.

Additional responsibilities:

·         Support the Executive Sponsor and consult with Exec Sponsor as needed

·         Ensure proper information for the committee

·         Plan and conduct committee meetings effectively

·         Get all Executive Committees involved in the work

·         Ensure the committees focus on their key tasks

·         Engage the committee in assessing and improving WIN

·         Oversee the induction and development of Executive Committee and Subcommittee Leads

·         Advocate for and on behalf of WIN membership and the immigrant community

·         Work closely with Vice-Chair and Secretary and act on their behalf during their absence

·         Collaborate with OFM partners and Equity Office and ensure requests for information are fulfilled

·         Collaborate with Executive Committee and attend monthly committee meetings

·         Provide input, feedback, and guidance regarding the Immigrant perspective

·         Make decisions regarding when and how to share information and support issues

·         Develop general membership meeting agendas and slides

·         Make decisions on relevant content, and identify and vet speakers and facilitators

·         Plan special events and provide support as needed

·         Coach and mentor Subcommittee Leads

·         Develop communications and oversee a website and social media content

·         Respond to requests for WIN collaboration, participation, presentations, and training.


Vice-Chair

The Vice-Chair is appointed by the WIN members. A member of the Executive Committee. The Vice-Chair is a leadership role responsible for collaborating with the Chair on all aspects of the BRG. Prepares to assume the office of the board chair. Fulfills the committee chair's duties when the officer is absent or if that office becomes vacant. Assists the committee chair in the execution of their duties.

Additional responsibilities:

·         The vice-Chair will share the role of leading monthly membership meetings, attending planning meetings, and is required to attend monthly meetings with OFM.

·         The Vice-Chair also provides feedback pertaining to the newsletter, website, and social media.

·         The Vice-Chair will step in as needed to attend subcommittee meetings and other activities

·         Assist in providing input, feedback, and guidance regarding the Immigrant’s perspective

·         Assist in making decisions regarding when and how to share information and support issues

·         Assist in developing general membership meeting agendas and slides.

·         Assist in making decisions on relevant content, and identifying and vetting speakers and facilitators

·         Assist in the planning of special events and provide support as needed

·         Assist in coaching and mentoring Subcommittee Leads

·         Assist in developing communications and overseeing the website and social media content

·         Assist in responding to requests for WIN collaboration, participation, presentations, and training


Secretary

The Secretary is appointed by the WIN members. A member of the Executive Committee. The secretary is responsible for taking meeting minutes, maintaining records, and all-important records for WIN. This role is expected to attend all WIN monthly membership meetings, and planning meetings, and can opt into attending leadership meetings with OFM.

Additional responsibilities:

·         Additionally, this role will take the lead on some projects as needed by the group.

·         Work closely with and support the Chair and Vice-chairs on all matters

·         Anticipate needs, issues, and challenges, and provide input and feedback

·         Collaborate with Executive Committee and Subcommittee Leads

·         Schedule meetings and special events, draft agendas and slides, and create meeting minutes and/or track action items

·         Maintain membership and attendance rosters for monthly general membership meetings

·         Serve as a liaison with OFM partners, ensuring access and support to email, SharePoint, and Gov Delivery

·         Respond to and route requests for membership, information, and participation

·         Maintain an organized, electronic filing system for all program documentation

·         Draft and coordinate correspondence, and communicate on behalf of the Chair and Executive Committee

·         Assist with overseeing the website and social media content

·         Develop and document administrative processes and procedures

·         Serve as a representative of WIN within the state community and to the public


Treasurer

The Treasurer serves as the liaison and coordinates with OFM on any consolidated budget, resources, or other funding administered by OFM for WIN.  The Treasurer will work with OFM to accomplish budget and accountability procedures by OFM guidance and instructions and work with the respective agencies/individuals to explore appropriate grant and funding mechanisms or opportunities.

Additional responsibilities

·         Responsible for communicating finance information with the Executive Committee

·         Create and provide financial reporting as needed

·         Maintain and organize the financial planning and budgeting

·         Maintain bookkeeping and record-keeping
